Rental conditions (extract)
Reservation and payment
At the latest 7 days after receipt of the confirmation, we must have received from the tenant a down payment of 40% of the total rent.
The remaining 60% of the rent due must be paid at the latest 8 weeks prior to the stay.
If a reservation is made within 8 to 2 weeks prior to the stay, the total amount of rent due should be received within 5 working days after the confirmation of the booking
If a reservation is made within one week up to 2 days prior to the stay, the total amount of rent due should be paid by phone banking after the confirmation of the booking
After full payment of the rent due, the travel documents are sent approximately three weeks prior to stay by email or by post to the tenant in which are noted the address of the holiday accommodation, the name of the key keeper (who will hand over the key to the tenant at the moment of arrival) and specific details regarding the tenants’ holiday accommodation, such as bed linen (rented or own bed linen), end of stay cleaning costs, security deposit or other supplements.
Cancellation
In the case that the tenant wishes to cancel the agreement, cancellation costs will be charged.
In the case of cancellation prior to the term of 8 weeks prior to the start of the stay, the tenant must pay an amount of 40% of the total rent due.
In the case of cancellation within 8 weeks prior to start of stay the tenant must pay the entire rent due.
In the case of premature end of stay the entire rent due remains payable.
Insurances
We include in the rental price (without extra costs for tenant) a Damage to lodging accommodation insurance in co-operation with ETIG (European Travel Insurance Group) which covers damage to the lodging accommodation to a maximum €2.500,- per rental agreement (check the insurance conditions and coverage on Provencemotion website or contact us).
You can buy a cancellation insurance via us in co-operation with ETIG (European Travel Insurance Group) with a premium of 5.9% of the total rent due.
Additional costs
End of stay cleaning costs are compulsory unless agreed differently with the owner, and have to be paid cash to the key keeper before departure. End of stay cleaning costs are included in the rent for Bed and Breakfast accommodations. Bed linen and towels are included with Bed and Breakfast accommodations; owners of other accommodations may ask extra costs. If any, these are mentioned on Provencemotion website and in the travel documents which are sent after reception of the full payment of the rent due.
Any other additional costs have to be paid cash to the key keeper before departure.
End of stay cleaning
Unless otherwise agreed on, the end of stay cleaning is to be done by the owner of the accommodation. In most cases it is compulsory to have the end of stay cleaning done against additional charge which is mentioned. Even in these cases, where the tenant pays a certain amount to have the end of stay cleaning done, the tenant must on departure leave the accommodation tidy and kitchen clean and tidy, if tenants fails to do so, the owner or owner is entitled to deduct part of the security deposit as extra cleaning costs. Everything has to remain to its original state and location. Extra costs can be charged if the tenant fails to do so.
Security deposit
Almost all owners of the holiday accommodations rented out by us, stipulate that the tenant must pay a security deposit in advance. This will serve as an assurance for the owner in the event of any damages or additional costs caused by the tenant (for example, cleaning costs, breakage costs, damage, costs in the event the number of tenants exceeds the allowed number of tenants, severe noise hindrance, etc.). The exact amount of the security deposit is mentioned on the reservation confirmation.
Arrival and departure
For holiday houses and villa accommodations the time of arrival is Saturday after 4:00 pm, the valid departure time is Saturday before 10:00 am, unless otherwise mentioned.
For bed and breakfast accommodations the time of arrival is on the check in date after 4:00 pm. The valid departure time is on the check out date before 10:00 am, unless otherwise mentioned.
If the tenant arrives after 7:00 pm, tenant must contact the key keeper. Arrival after 9:00 pm is not possible unless agreed differently with the key keeper.
Liability
The tenant is made aware that the tenant is accountable for damages occurred to the holiday accommodation and/or third parties during the stay, unless there is evidence to the contrary.
We proclaim herewith on the owners behalf, that the tenant is at all times obliged to reimburse the owner for all damages – including damages resulting from loss or theft – occurred to the holiday accommodation and other third parties (f.i. neighbors).
Complaints
In the event of any questions, problems or complaints regarding the rented holiday accommodation, the tenant should always first contact the owner directly. If the owner does not deal with the complaint in a satisfactory manner, the tenant should notify us by phone or email within 24 hours and during the stay in order for us to take appropriate measures.
